This Privacy Policy explains how CKA Systems handles information in connection with My Bills – Budget Planner (“My Bills”, the “App”). It is intended to explain clearly what stays on your device, what limited data may leave the device, why that happens, and what choices and rights you have.
For personal information that CKA Systems receives or determines the purposes and means of processing, CKA Systems is the data controller.
Privacy enquiries and requests can be sent to info@ckasystems.co.uk.
My Bills stores the budgeting information you enter or create primarily in local App storage on your device. This can include:
CKA Systems does not operate an account system or a remote budgeting-data database for My Bills and does not automatically receive this budgeting content.
My Bills uses Google Analytics for Firebase (“Firebase Analytics”) to understand broad App usage and improve the App. Analytics is deliberately restricted so that user-entered budgeting content is not included in Analytics events.
Depending on the App build and your Analytics choice, Firebase Analytics may process:
My Bills’ Analytics boundary is designed not to send:
My Bills does not set a CKA Systems account ID or named user ID in Firebase Analytics because My Bills has no CKA Systems user accounts.
My Bills is configured to disable advertising-ID collection and Firebase advertising features, including ad storage, ad user data and ad-personalisation signals. My Bills does not display advertising.
The current Android release contains advertising-ID-related permissions contributed by Google/Firebase measurement libraries. A library permission being present does not itself mean that advertising-ID collection is enabled: collection is controlled separately by the App's configuration. These permissions do not mean that the App displays ads.
Firebase Analytics collection is disabled by default before Analytics collection begins. When My Bills first needs an Analytics choice, it asks you to choose either Allow usage analytics or No thanks. Neither option is preselected.
If you choose Allow usage analytics, My Bills stores that choice locally and enables Firebase Analytics. If you choose No thanks, Analytics remains disabled and all budgeting features continue to work normally.
You can change your choice at any time in Settings → Usage analytics (under Privacy in the released 1.5.0 layout, or Data & Privacy in versions with the reorganised Settings layout). Turning Analytics off stops future Analytics collection. My Bills also asks Firebase to clear locally held Analytics data for that App instance and reset its Analytics app-instance identifier. This does not necessarily delete Analytics information that was already transmitted to Google/Firebase before you turned collection off; previously transmitted information remains subject to the applicable Firebase/Google retention settings and legal obligations.
Your Analytics choice itself is not sent as a Firebase Analytics event. A user with no stored choice — including an existing user upgrading from an older version — is treated as having made no choice, so Analytics stays disabled until Allow usage analytics is explicitly selected.
The Analytics choice is deliberately excluded from My Bills manual JSON backups. Restoring a backup therefore does not grant Analytics permission on another installation or device.
Where UK data-protection law applies, CKA Systems uses personal information only where there is a lawful basis:
CKA Systems does not use My Bills information for automated decisions that produce legal or similarly significant effects about you.
My Bills offers monthly and annual Premium subscriptions through Google Play Billing. Both provide the same entitlement to unlimited Bills and Income. Google Play handles payment credentials, purchases, renewals, cancellations and refunds under Google's own terms and privacy policies. CKA Systems does not receive or store your payment-card or bank-account credentials.
The CKA Systems website is an informational, support and legal-information site only. It does not sell My Bills subscriptions or take payment; Premium purchases are made through Google Play.
The App receives limited purchase and entitlement information needed to recognise Premium, such as a product identifier, purchase token or transaction identifier, purchase state and relevant transaction information supplied by Google Play. Locally cached entitlement information can include the product, active status and when a check last succeeded. This cache supports continuity between checks; it is not a separate payment record or a substitute for Google Play verification.
Google Play may also make order and subscription information available to CKA Systems through its developer tools, such as order identifiers, product details, transaction dates, amounts, order status and information supplied for purchase support. We use information available to us for subscription administration, support, refunds and required business records, not to obtain your budgeting records.
If Google Play verifies that Premium has ended and you exceed the Free limits, the App stores your locked selection of active Bills/Income locally and preserves the remaining items as Paused. The selection record can be included in manual backups; the Terms explain how those restrictions work. This does not upload the items or their contents to CKA Systems.
Firebase Analytics may receive generic purchase/subscription analytics as described in section 3, subject to the App's optional Analytics settings. Declining Analytics does not stop Google Play from processing the billing information needed for a subscription you request.
Although My Bills is local-first, Android’s system backup features can affect local App data. Depending on your Android and Google account backup settings, Android/Google may copy or restore some App storage as part of device backup and restore, including after reinstalling the App.
CKA Systems does not operate or have access to your Google account backup. Google’s handling of system backups is governed by Google’s own terms, settings and privacy policy.
My Bills lets you create a manual JSON backup and choose a destination or sharing application. This export can contain sensitive financial-planning information, including Bills and Income (active or Paused), balances, supported settings, category assignments and any locked Free-tier selection metadata. The file is not encrypted by My Bills once exported.
When you deliberately export or share a backup, Android passes the file to the destination, app or service you select. CKA Systems does not automatically receive that file and cannot recover or delete copies held by you or a service you chose.
Restoring a backup replaces the supported budgeting data and settings on the device rather than merging them with your current records. An existing locked Free-tier selection is preserved. Make a current backup before restoring an older file.
Premium entitlement and the Analytics consent choice are excluded from manual backups. Restoring a backup does not purchase Premium, replace Google Play verification, grant Analytics consent or reset an existing locked selection. Manual backup does not include every device-specific preference.
My Bills can use Android notifications and exact-alarm access to schedule local bill and income reminders. These reminders are scheduled and delivered on your device. My Bills is designed not to include bill/income names, financial amounts, Current Balance, Safe To Spend or notes in notification content.
You can control notification permission and exact-alarm access through Android system settings. Refusing or revoking those permissions can affect reminder timing or delivery but does not prevent you using the App’s core budgeting features.
My Bills can create Android home-screen widgets. Widgets are generated from local App data and can display budgeting summaries, including financial summary values. They are not an Analytics upload. Anyone who can view your home screen may be able to see information displayed by a widget.
My Bills may involve the following third parties:
CKA Systems does not sell your personal information and does not share your budgeting content with advertising networks.
Google and its service providers may process limited Analytics, billing or platform information in countries outside the United Kingdom or your country of residence. Where international data-transfer rules apply, CKA Systems and its service providers rely on the safeguards and transfer mechanisms required by applicable law and the relevant Google service terms.
Local budgeting data remains on your device until you delete records, clear the App’s storage or uninstall the App. Android/Google system backup may retain a separate backup and may restore data after reinstall; you control that through your Android/Google backup settings.
Exported JSON backups remain wherever you saved or shared them until you or the chosen storage/service provider delete them.
For the My Bills Firebase/Google Analytics property, the current retention settings are 2 months for event data and 14 months for user data. Reset on new user activity is enabled, so new user activity can restart the 14-month retention period for user-level data. Google states that these retention controls do not affect most standard aggregated reporting.
Turning Analytics off stops future collection and resets locally held Analytics state for the App instance, but does not necessarily erase information already transmitted to Google/Firebase before the change. If these retention settings are materially changed, this Privacy Policy will be updated.
Google retains purchase and subscription records according to its own legal obligations, account settings and retention policies. Any purchase information CKA Systems receives for support, refunds or business records is retained only as needed for those purposes and applicable legal obligations.
If you contact CKA Systems, support correspondence is kept only for as long as reasonably necessary to resolve the enquiry, handle follow-up, maintain security and business records, or meet legal obligations, after which it is deleted or anonymised when no longer required.
CKA Systems uses data minimisation and technical restrictions to keep budgeting content out of Analytics. Firebase/Google communications are transmitted using encrypted connections. My Bills does not operate a cloud database containing your budgeting records.
No method of storage or transmission is completely risk-free. Exported backup files leave protected App storage and should be stored securely by you.
Depending on where you live, you may have rights over personal information processed by CKA Systems. Under UK data-protection law these may include rights to be informed, access personal information, correct inaccurate information, request erasure, restrict processing, receive certain data in a portable form, and object to processing based on legitimate interests.
Because My Bills has no CKA Systems account and budgeting content normally stays on your device, CKA Systems may not hold a copy of the budgeting information you see in the App. You can directly delete local budgeting records or clear App storage on your device.
Withdrawing Analytics consent does not affect the lawfulness of processing carried out before withdrawal.
To make a privacy request or object to processing, contact info@ckasystems.co.uk. We may need enough information to understand and verify the request, but we will not ask you to send a financial backup merely to identify you. Because Analytics uses a pseudonymous app-instance identifier rather than a named CKA Systems account, an email address alone may not let us identify particular Analytics records. We will explain what can be located and handled without requesting unnecessary budgeting information.
If you are in the United Kingdom and believe your information has been handled unlawfully, you can complain to the UK Information Commissioner’s Office (ICO). We would appreciate the opportunity to address your concern first, but you do not have to contact us before exercising a statutory right to complain.

My Bills is not directed to children under 13 and CKA Systems does not knowingly design the App to collect budgeting information from children. Google Play account, family and purchasing rules may impose additional requirements. If a child uses the App under a parent or guardian’s supervision, the parent or guardian should review the privacy implications, including Analytics, backups, notifications and widgets.
We may update this policy when the App, its services, the law or Google Play requirements change. We will update the “Last updated” date and, where reasonably practicable, give notice of material changes through the App or website.
